SUMMARY
To be the Company’s expert on associate benefits for the purpose of passing that knowledge along to all of the Company’s associates.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Budgets Health Plan/follows up on inquiries from Store Directors
- Manage current and potential strategies to help keep benefit costs low for Associates and NFI.
- Administer group health insurance with carrier
- Reviews and completes annual contracts with health, dental, FLEX & visions carriers
- Works with carrier to administer COBRA compliance
- Sets Health Benefits guidelines for eligibility in compliance with current laws and works with Health Benefits Coordinator to keep locations in compliance
- Responsible for reports from health carrier
- Reviews and approves for payment monthly health administration billings
- Audits eligibility and payroll deductions and determines eligibility for COBRA
- Maintenance of COBRA accounts receivable
- Responsible for stores set up with PPO networks and related benefits
- Works with auditor to complete & file 5500
- Ensure HIPAA policies are followed properly
ESOP/401(k) Retirement Plans
- Ensures ESOP and 401(k) Profit Sharing Plan Documents in compliance with current laws
- Maintains 401(k) Profit Share / ESOP Beneficiary File
- Communicates with American Funds on Allocation Changes of 401(k) Profit Sharing Members
- Completes bi-weekly deposit to 401(k) elective deferral accounts
- Reconcile 401(k) Profit Sharing and ESOP bank statements
- Prepares form 1099R for retirement plan participants
- Completes all processing for payments of retirement benefits
- Prepares information for IRS form 5500 for the retirement plans
- Works with auditor to evaluate eligibility and compliance for retirement plans
- Plans investment review and Trustee meetings
- Ensure contribution and distribution records are properly maintained
- Reviews Audited Financial Statements and communicates to CFO for approval
- Reviews Summary Annual Reports and communicates to CFO for approval
- Prepares auditor’s Representation letter for CFO
Other
- Confers with consultants concerning various benefit programs to design and implement benefits
- Conduct a self-audit on deductions vs. payments for Voluntary Benefits
- Responsible for new store Benefits set up on all acquired stores
- Completes verifications of benefits for courts and state agencies
- Works with Beneficiaries and completes Claims
- Routinely evaluates programs, cost, claims, problems, and Associate complaints and concerns
- Responsible for training the Office Managers on benefits, and all other compliance procedures
- Design and distribute monthly benefit education pieces to participants and stores
- Assist the Chief Financial Officer in preparing all benefit budgets
- Assist in other areas of Human Resources as required
